Logistics Coordinator
The primary responsibility of the Logistics Coordinator is to manage the logistics of the annual PDX Pop Now! festival and all other PPN! events throughout the year to ensure the artists, audience, and volunteers have the best experience possible at all PDX Pop Now! events.
Primary Duties and Responsibilities:
- Secure a venue for the annual festival and compilation release party. Additionally, collaborate with other board members on the logistics of PPN! outreach and fundraising events.
- Establish contracts with venue partners with the assistance of our lawyer Peter Shaver to ensure all contracts represent PPN!’s best interests.
- Secure lighting, staging, and sound systems for the festival and other events.
- Secure adequate security for PPN! events.
- Secure street closure and noise ordinance permits for events which necessitate them.
- Manage merchandise table and maintain merchandise inventory in collaboration with compilation coordinator.
- Plan and arrange for the decoration of PPN! events.
- Coordinate with photographers/videographers/audiographers to ensure they have all they tech needs at each event.
- Maintain relationships with local audio and stage providers to establish sponsorship partnerships through in-kind donations.
- Create a timeline of events and milestones with duties and expectations included.
- Establish a fiscal year and monthly budget.
- Attend bi-weekly board meetings.
Volunteer Coordinator
The primary responsibility of the Volunteer Coordinator is to oversee the recruitment, training and management of volunteers on behalf of PDX Pop Now!
Primary Duties and Responsibilities
- Schedule volunteer tasks and supervise volunteers at all PDX Pop Now! events.
- Provide board with volunteer updates and communicate areas need/support of the program.
- Facilitate volunteer orientation meetings in order to recruit new volunteers as well as increase the volunteer support base.
- Assist people who contact the organization by providing them information about volunteer possibilities and events.
- Conduct outreach to recruit prospective volunteers at PDX Pop Now! events, online social networking, etc.
- Create and maintain volunteer files, database and other relevant volunteer information which include volunteer contact information.
- Notify volunteers via email and social networking of volunteer opportunities at PDX Pop Now! events.
- Promote volunteer recognition
- Coordinate the volunteer needs of all board members’ projects and help staff accordingly.
- Attended bi-weekly board of directors meetings.
